Create rota shifts

In this article, we explain how to create rota shifts.

Any existing shift patterns previously created by your organisation will be displayed within the Rota Shift screen. If this is the first time your organisation has used the Shifts and Runs functionality, no shifts will be displayed.

Creating shifts

To create a new rota shift, all shift patterns used by the staff assigned to the rota must first be configured. Examples may include:

  • Morning shifts.

  • Afternoon shifts.

  • Full-day shift combinations.

  • Rotating early, late, and extra-late shifts.

Shift view rotas

In a Shift View rota, staff work the same shift patterns on different days or times, with shifts rotating according to the rota cycle. For example, staff may rotate weekly between early, late, and extra-late shifts.

Ad-Hoc shift rotas

In an Ad-Hoc View rota, staff may work varying hours and times, but collectively provide sufficient coverage for all scheduled visits.


How to create a new shift

Select Add and complete the following fields:

  1. Shift Name
    Enter a clear and meaningful name for the shift, usually reflecting the time period it covers.

  2. Start Time
    Enter the start time for the shift.

  3. Duration
    Enter the total length of the shift.

    • This should be entered as a duration, not an end time.

  4. Availability Type
    Select the appropriate availability type:

    • Standard Availability – confirmed working availability.

    • Tentative Availability – possible or provisional availability.

  5. Display Colour
    Select a colour swatch to determine how the shift will appear on the rota grid.

  6. End Date
    Leave this field blank unless the shift is only required for a fixed period.

Once you have confirmed that all details are correct, select OK to save the shift.

📌Note: After a shift has been saved, only the Shift Name and Display Colour can be edited.
