Please Note: We plan to release the following changes this week (week commencing the 03/03/25) but please keep an eye on the What’s New tab for confirmation on the release as this is subject to change. Just a quick note to say we have made some further tweaks to the UI for Document Management.
Previous UI Latest UI Not a change we have made this month but just a quick recap on permissions:
Document Management: Share/publish Files to Client Portal Under the ‘Options Cog’ you will now have the option “Show in Client Portal"
Once a file has been shared, it will display a pill icon in the ‘Shared with’ column
Files set with this option will then be shown on the Client Portal within the new Files tab. Files can be removed from the Client Portal by following the same process but selecting “Remove Client Portal”
Please Note: The Files tab can be shown/disabled at an agency level by toggling the new option in the Client Portal tab within the Settings app.
Document Management: Share/publish Files to CM Mobile Under the ‘options Cog’ you will now have the option "Share to CM Mobile"
Any file type can be shared to CM Mobile but please note that only PDFs or Image files can be viewed directly within the app (PDFS, JPEG, JPG, PNG, BMP). Other file types will prompt the end user with the option to locally download or select the relevant app to open them, Word files for example will require the Microsoft Word app to be installed on the phone.
Please consider the following carefully when sharing files to the app:
The file size: When publishing to CM Mobile, files will automatically download when the users first logs into the app (based on the visits scheduled for that user). This is done to ensure the files are available if the user goes offline. If you are sharing a large number of files/large files this could impact the user’s data usage.
The sensitivity of the data within the files: When publishing files to CM Mobile, the files will be encrypted by default but if the user downloads & saves a file outside of CM Mobile, the files will no longer be protected by the app. Please also note, the app will automatically remove all files shared to the app when the user logs out of CM Mobile but this action cannot be carried out on files the users has downloaded locally.
We would recommend customers review your internal process especially with your Data Protection Officer (DPO) before sharing files that may contain sensitive data.
On CM Mobile: Users will now see a new File tile within the visit detail screen. This is available when using version 14.0.0 and above.
Shared files will download automatically when the user first logs in, users will also have the option to retry the download for individual files if the automated file process fails for any reason.
Client Portal: Slight change the visit filter’s location so they now show at the top of the tab rather than in the side menu.
Removal of the side menu, previous containing the filters option, to improve its interaction with screen readers.
