In CM New World, you share files in the document manager to give others easy access, improve collaboration, and keep documents organised in one place.
Share and publish files
Each folder has an options filter. Once clicked, you can choose to rename folder, remove folder, share to CM Mobile, or share to client portal.
Sharing files to client portal
Files set with the share option will then be shown on the client portal within the new files tab. Files can be removed from the client portal by following the same process, but selecting remove client portal.
Sharing files to CM Mobile
π Any file type can be shared to CM Mobile, but please note that only PDFs or Image files can be viewed directly within the app (PDFS, JPEG, JPG, PNG, BMP).
Other file types will prompt the end user with the option to locally download or select the relevant app to open them. Word files, for example, will require the Microsoft Word app to be installed on the phone.
app:
The file size: When publishing to CM Mobile, files will automatically download when the user first logs into the app (based on the visits scheduled for that user). This is done to ensure the files are available if the user goes offline. If you are sharing a large number of files/large files, this could impact the userβs data usage.
The sensitivity of the data within the files: When publishing files to CM Mobile, the files will be encrypted by default, but if the user downloads & saves a file outside of CM Mobile, the files will no longer be protected by the app.
π€ Tip: The app will automatically remove all files shared to the app when the user logs out of CM Mobile, but this action cannot be carried out on files the user has downloaded locally.
π€ Tip: The Files tab can be shown or disabled at an agency level by toggling the new option in the Client Portal tab within the Settings application.
Once a file has been shared, it will display a pill icon in the Shared with column.
