Client record changing to inactive

What to do if a client record keeps changing to inactive in CallConfirmLive!.

Written by Billy Dilks

There are a few reasons why a client record may keep switching from active to inactive. The steps below cover the most common causes and how to resolve them.

Purchase order status

If a client keeps changing status from active to inactive, this may be caused by the status of the purchase orders for that client. Purchase orders must be active, or the client will keep becoming inactive automatically.

To set the client back to active:

  1. Log in to CallConfirmLive!.

  2. Double-click the client record, then click the Misc Details tab.

  3. Untick the Service ended checkbox.

  4. At the top of the record, set the status to Active, then click Save and Close.

📌 Note: Check the status of the purchase orders to ensure they are being received correctly from the local authority. If the local authority is sending through data to close the purchase order, the client will become inactive again when the purchase orders automatically re-import.

Service end date on the record

The client record may also keep becoming inactive if there is an end date set on the record. To check and correct this:

  1. Log in to CallConfirmLive!.

  2. Double-click the client record.

  3. Click the Misc Details tab on the left of the client record.

  4. Near the bottom, review the Service Started on and Service Ended on dates.

  5. If the dates are incorrect, update them accordingly, set the client to Active, then click Save and Close.

📌 Note: There is a History section next to the start and end dates, which keeps a record of any time the profile was closed or reopened.

If the issue persists after trying these steps, raise a new case online and reference the title of this article.
